Privacy Policy
Apex UAV LLC ("Apex UAV," "we," "us") is a small drone photography business in Ormond Beach, Florida. This page explains what information we collect through our website and bookings, why, and what we do with it. The short version: we use your information only to run your job and talk with you. We never sell it, rent it, trade it or give it to anyone, for any reason, except the narrow cases listed under "We never sell or give out your information" below.
How we protect your information
Protecting our customers' and pilots' information is one of the most important things we do. Here's how:
- Locked down. Every page and connection uses encryption (HTTPS), and our database and photo storage are encrypted. Each customer and pilot can only see their own information. A pilot sees a customer's details only after taking that customer's job, and only what they need to fly it.
- Team accounts need two steps to sign in: an emailed code plus a code from an authenticator app. Every sign-in to our owner dashboard is emailed to the owner.
- Watched around the clock. We block and log hacking attempts (someone trying to open data that isn't theirs, guessing private links, fake payment messages or bots), and the owner is alerted right away.
- Real people only. A free bot check protects sign-ups, sign-ins and bookings. We confirm every pilot's identity (license, FAA certificate and background check must all match) and verify every business before it can post jobs, so nobody can pose as someone else.
- We keep as little as possible. Card numbers stay with Square; we never see them. Driver's license photos are deleted 30 days after a pilot is cleared, and discount proof photos are deleted as soon as they're reviewed. You can delete your account any time.
- We'll never ask for your sign-in codes, passwords or card number by phone, text or email. We only take payment through Square links from our own website. If someone asks, it isn't us. Tell us at (386) 243-5716.
- If something ever goes wrong, we'll tell you quickly, and within 30 days at the latest, as Florida law requires.
What we collect
- Booking details: your name, company, phone number, email, the job address, dates, job description, access notes, and any photo or file you upload.
- Contact form messages: your name, email, optional phone number and your message.
- Pilot applications: name, contact details, home ZIP code, service area, FAA certificate number and photo, driver's license photo, insurance policy, drones, the answer to our felony question, the background check result (not the report), and a W-9 signed through a secure e-signature service.
- Unfinished bookings: once you type your email into the booking form, we save what you've filled in so far (name, phone, package, address and date), even if you don't finish.
- Your birthday: if you give it to us, the month and day only (never the year), to apply the yearly birthday-month discount.
- Security log: when we block an attempt to break in or misuse the site, we record what was tried, when, and a scrambled code for the device (never your name). The raw internet address is kept only in our server's short-term logs.
- Visitor stats: which page was opened, the date, and the kind of site that sent the visitor (for example Google or Facebook). No cookies, no IP addresses, nothing that identifies you. If your browser sends "Do Not Track," we don't count the visit at all.
- Payments: handled entirely by Square. We see the payment amount and your name, but we never see or store your full card or bank details.
How we use it
- To schedule, plan and fly your job, including checking airspace for your address.
- To send your deposit link, invoices, previews and final files.
- To answer your questions and follow up on your booking.
- To keep basic business and tax records.
- To check the airspace and the weather for your job. We look up your address's map location and check it against the FAA's drone airspace map and the National Weather Service forecast.
- If you start a booking and don't finish, to send you one reminder email the next day with a link back to it. One per month at most, and every reminder has a link to stop them.
- If you gave us your birthday, to send one email at the start of your birthday month about your discount, with a link to stop them.
- To understand which pages and sources bring in customers, using the visitor stats above.
Apart from the booking reminder and birthday email above, which you can stop any time, we don't send marketing email unless you ask us to.
Who else handles it
- Netlify hosts this website and delivers form submissions to us by email.
- Supabase stores booking records, account sign-ins and job photos so we can manage your job and you can see it in your account.
- Square processes deposits and invoices.
- Google provides our email and file storage for delivering your photos.
- Resend sends our emails, and Twilio sends booking texts if you asked us to text you.
- The U.S. Census Bureau's address and ZIP code maps, the FAA's drone airspace map and the National Weather Service receive a job address or its map location, or a pilot's home ZIP code (never anyone's name or contact details), so we can check the airspace and the forecast and measure travel.
- Public property records (Florida's statewide county parcel records and RentCast) receive a job address for 360 tours and land, mapping and crop jobs (never anyone's name or contact details), so we can look up the finished square feet and the acreage. We keep only those sizes, never the owner's name.
These companies only run a part of our service for us. They may use your information only to do that job, never for their own marketing. Each has its own privacy policy.
We never sell or give out your information
We will never sell, rent, trade or give away any customer's or pilot's information to any person, company or organization. That includes advertisers, data brokers, lead sellers, other drone companies and anyone who asks to buy a list. The only times anyone outside Apex sees your information are:
- The people on your job. The pilot flying your job gets the job address, your name, your phone number and the job notes, only so they can do the job. Customers never get a pilot's phone, email, home address, ID or background check. If you ask, we'll confirm your pilot's name, FAA certificate and insurance.
- The companies that run our service, listed above, only to do their part.
- To collect a bill or handle a claim. To collect money owed to us, to defend or bring a legal claim, to handle an insurance claim, or to report a crime against Apex, we share only what's needed, and only with our lawyer, insurer, accountant, a collection agency or a court.
- The FAA, when its rules require us to share flight logs or an accident report.
- Law enforcement, only with legal paperwork. We give information to police or a government agency only when they serve us with a valid subpoena, search warrant or court order, and we give only what that paperwork requires. A phone call, email or letter asking for it isn't enough. The one exception is an emergency where someone's life or safety is in immediate danger. If we receive a legal demand for your information, we'll tell you before we hand it over, unless the law or a court order forbids it.
If Apex is ever sold or merged, your information would only move to the new owner under this same promise, and we'd tell you first.
Text messages
We only text you about a booking if you tick "Text me about this booking" when you book. That covers your confirmation, the day-before reminder, weather or schedule changes, and anything you need to approve, such as a price change. It's usually 2 to 6 texts per booking. Message and data rates may apply. Reply STOP to stop texts, or HELP for help. You can also call or text (386) 243-5716. You don't have to agree to texts to book.
We never send marketing texts. We don't sell, rent or share your mobile number or your permission to text with anyone for their marketing. Twilio only uses it to deliver our messages.
Your Apex account
If you sign in to your account, we use your email to send a one-time sign-in code, or you can sign in with Google, Apple or Facebook, which share only your name and email with us. There's no password to store. If you sign up as a business, we also keep your business name. Your account shows only the jobs booked with your email, and the folders you create. Nobody else can see them except the Apex UAV team running your job. Photos from your jobs are stored privately and shared only through your account or links you choose to share. If you turn on a gallery share link, anyone you send it to can view and download those photos (never your street address or contact details) until you turn it off.
We will never sell, rent or trade your information, and we don't use it for anything except running your jobs and talking with you. You can delete your account yourself at any time from My account. That permanently removes your name, contact details, addresses, notes, folders, photos, video links and sign-in. We keep only the dollar amount and date of past jobs, with nothing that identifies you, because businesses are required to keep income records for taxes.
Pilot network jobs
When someone posts a job on the pilot network, we store the property address, the homeowner's name and contact details, and the job notes so a pilot can fly it. The homeowner's signed consent (their typed name and the date and time) is kept as a record. Only the customer who posted the job, the pilot who claims it, and the Apex UAV team can see those details. If a network pilot flies your booking, that pilot gets your name, the property address, your phone number and your job notes, only so they can do that job. Pilots browsing open jobs see only the city, state and ZIP code until they claim a job, and only pilots who have passed our checks (FAA certificate, insurance and background check) can claim one. Pilot applications (name, contact details, service areas, FAA certificate, insurance and payout details) are seen only by the Apex UAV team, except as described under "Proof of credentials" below. Background checks are run by a licensed screening company with the pilot's written permission; we receive only the result. To figure distance, we use the center of a pilot's home ZIP code, never their street address. Customers are never told where a pilot lives. Pilots also upload a photo of their driver's license and FAA certificate. These are stored privately, seen only by the Apex UAV team, and the license photo is deleted 30 days after the pilot is cleared.
Pilot insurance, drones and flight logs. Pilots upload a copy of their liability insurance policy and add each drone they fly (model, serial number, FAA registration number and expiration, Remote ID details and a photo of the registration label). These are stored privately and used to check that every flight is legal and insured. Flight logs (times, location, altitude, drone, pre-flight checks, any incident and any flight-record files the pilot uploads) are kept for at least 3 years so we can answer questions from the FAA, insurers or customers, and are shown to the FAA when federal drone rules require it. Any other authority gets them only with legal paperwork, as described under "We never sell or give out your information."
Proof of credentials. If a customer asks for proof that their pilot is licensed and insured, we email the customer on that job the pilot's name, Part 107 certificate number, insurance company, policy number, coverage, expiration date, a link to the policy copy that stops working after 7 days, and the FAA registration numbers of their drones. Signed-in customers can also see a short pilot profile: first name and last initial, city, and whether the pilot's license, insurance, background check and drone registrations are current. Phone numbers, email addresses, home addresses, ID photos and background check details are never shown to customers.
Training purchases
When you buy Part 107 training, we keep your email, what you bought, the price and the date, so your Training tab works on any device and so we have tax records. Square handles your card; we never see the card number. We don't sell this list or send you marketing unless you ask for it. Your practice test scores and flashcard progress are saved only in your own browser.
Affiliates
If you apply to our affiliate program, we keep your name, email, phone, how you plan to share your link, your payout details and your W-9, so we can pay you and send tax forms. Your W-9 is stored privately; only Apex UAV's owner and managers can see it. When a customer books through your link, we record that booking against your code so we can pay your commission. Customers' names and addresses aren't shared with affiliates; you see the package, the town and your commission.
Photos and video of your property
Footage we capture belongs to Apex UAV, as described in our Terms of Service. We only show your shoot in our portfolio if you say yes, and then only up to two photos and one short video clip, with no name or street address. This is true whether we flew your job or a pilot in our network did, and nothing goes up until your files are delivered. You can switch it off any time in My account, and those photos come off the website right away. We plan flights to focus on your property and don't record people in private spaces. If you spot yourself or your home in our portfolio and want it removed, email us and we'll take it down.
Discount proof (veterans, military and first responders)
If you ask for the veteran, military or first responder discount, your pilot checks your proof at the shoot. For veterans, the pilot may take a photo in the Apex app of your driver's license or state ID showing the Veteran designation, or of your DD-214 with your Social Security number covered. For active-duty military and first responders, the pilot only looks at your ID. We never photograph or copy a military ID card, or any federal ID or badge.
Proof photos go straight to a private, locked storage area that only Apex can open. Pilots can't view them after they send them, and they're asked not to keep a copy. We use the photo only to confirm your discount, never for anything else, and we never sell or share it. We delete the photo as soon as we approve or decline it. After that we keep only a short note that the discount was verified, the type of proof and the date, so your bill is correct.
How long we keep it
We keep booking records and files for as long as needed to deliver your job and meet tax and legal requirements, usually up to 3 years. After that we delete them.
Your choices
You can delete your account yourself from My account. You can also ask us to show you or correct the personal information we hold about you. Email flyapexuav@gmail.com and we'll respond within 30 days.
Cookies and similar storage
We don't use advertising or tracking cookies, and we don't let ad networks or data brokers track you on our site. That's why you don't see a cookie banner. What we do keep is only what the site needs to work, saved in your own browser (as "local storage" or "session storage," which work like cookies):
- Staying signed in. If you sign in, your browser keeps your sign-in session for your account, pilot or affiliate dashboard until you sign out.
- Your booking in progress. Until you close the tab, your browser keeps a reference to your unfinished booking, so you don't lose it if the page reloads.
- Referral and affiliate links. If you arrive through a referral link (from a friend, a pilot or an affiliate), your browser remembers the code so the right person gets credit. An affiliate code only counts for 30 days. Clearing your browser storage removes it.
- How you found us. For the tab you have open, your browser notes the kind of site that sent you (for example Google or Facebook). It isn't linked to your name.
- Small preferences. Things like closing the "get the app" banner, or your place in the Part 107 training.
- Offline app files. The Apex app saves copies of its own pages and images on your device so it loads fast and works with a weak signal.
Other companies that may set their own cookies:
- Cloudflare Turnstile, our free bot check, runs when you book, sign in or apply. It checks that you're a person, not a bot. See Cloudflare's Turnstile privacy notice.
- Square handles card payments on its own secure checkout page, under Square's privacy notice. We never see or store your full card number.
- Our website host keeps standard server logs for security.
Your choices. You can clear this storage any time in your browser settings, or browse in a private window. If you do, you'll be signed out and a referral code you clicked won't be credited.
Children
Our services are for adults. We don't knowingly collect information from anyone under 18.
Changes
If we change this policy, we'll update the date at the top of this page.
